We are seeking a highly organised, diplomatic individual to join our team as the Assistant to the Director. The ideal candidate will have a strong interest in defence, security, and history, coupled with exceptional organisational and communication skills. This role is critical to ensuring the smooth operation of the Director’s duties and the successful execution of our annual conference, as well as other events and seminars.

Key Responsibilities:

Working alongside our Head of Operations and colleagues assisting the Director on a wide range of tasks such as:

  • Meeting coordination: schedule, organise, manage meetings for the Director, ensuring all logistics are in place and agendas are prepared, and when required attend meetings to take a note of proceedings and summarise action points.
  • Conference management: supporting the planning and execution of annual London Defence Conference, including managing timelines, curating the programme, and logistics.
  • Speaker coordination: liaise with conference speakers and moderators, handling all communications and presentation requirements.
  • Administrative support: provide comprehensive administrative support to the Director, including drafting correspondence and handling confidential information.
  • Stakeholder liaison: act as a point of contact between the Director and internal/external stakeholders, ensuring clear and professional communication.
  • Research support: assist with research projects related to defence, security, and history, compiling and summarising relevant information as needed.
  • Intern management: assist with the recruitment and mentorship of interns, including assigning projects and tasks as well as monitoring their progress and providing feedback.
